ABOUT THE OPPORTUNITY
IPC seeks a mission-driven Administrative Assistant to lead our front desk administration at our Hartford, CT office and support our various departments as a partner committed to ensuring administrative excellence. The ideal candidate is self-driven with strong communication and organizational skills. We are looking for someone who is an effective multi-tasker, dependable, and collaborative in their work with IPC and its affiliated entities.
This part-time role (20 hours per week), which could expand into a full-time role in time, requires the individual to serve as a leader in customer service, records management, and general office administration. The work hours for the Administrative Assistant at the Hartford, CT office are 9:00 am – 1:00 pm ET, Monday – Friday. This role reports to the Chief Financial Officer as part of the IPC Operations team but will support all departments of the organization.
Responsibilities include, but are not limited to:
- Supporting the organization on various tasks, which may include scheduling meetings, connecting with partners, coordinating conference registrations, etc.
- Being the initial point of contact for IPC by greeting clients, answering the phone and general emails, set up / clean-up for client meetings, and receiving/creating deliveries
- Maintaining mail preparation and distribution
- Coordinating internal and external meetings for staff
- Research, plan, and arrange travel, meals, and hotels for on-site staff meetings
- Prepare and lead the creation and organization of documents, spreadsheets, confidential records, and presentations
- General office tasks as needed such as ordering supplies, maintaining supply inventory, building/office management, etc.

Education & Experience:
The qualified candidate will have at least a High School Diploma and a minimum of 2 years of experience in an administrative or retail setting.
Skills:
IPC seeks candidates that exhibit both mission alignment and professional competency in the following areas:
- Ability to read and analyze company documents and distribute them internally
- Strong organizational skills and demonstrated ability to prioritize competing demands and perform multiple tasks with respect to internal and external deadlines
- Working knowledge of general office equipment
- Proficiency in the Microsoft Office Suite, particularly Outlook Calendars
- Excellent written and verbal communication skills
- Attention to detail and problem-solving skills
- Ability to work independently and take ownership of their own tasks
